Job Summary
Big Sandy Community and Technical College is seeking a Administrative Assistant III to complete secretarial/clerical duties, correspondence, course schedules, budgets and payroll assignments, etc. Provides exceptional customer service.
Job Duties:
- Manage College Schedule, keeping abreast of changing course descriptions, pre-requisites, adding and dropping classes, keeping BSCTC employees informed with accurate information for advising.
- Coordinates and schedules all rooms using Archibus for the Prestonsburg, Hager Hill and Mayo campuses.
- Enter all room assignments for the academic courses in PeopleSoft for all campuses.
- Serve as liaison for universities leasing space, aka Lindsey Wilson.
- Calculate overloads for all faculty.
- Prepare Payroll Assignments for all adjunct and overload, full-time General Education and Technical Faculty.
- Initiating electronic Payroll Assignment forms for faculty each term.
- Reconcile adjunct budgets with HR.
- Manage Travel and Expenses for Provost budgets lines.
- Order necessary supplies.
- Reconcile the ProCard statement monthly.
- Maintain files, prepare reports, and schedule appointments on behalf of the Provost.
- Manage projects in the Provost Office frequently involving senior administrators of the college.
- Serve as receptionist for the Provost Office by greeting visitors, answering phone, distributing mail, etc.
- Assist with high level confidential materials related to the area.
Minimum Qualifications:
Associate Degree and 3 years related experience.
Preferred Qualifications:
Bachelor's Degree and 2 years related experience.
Additional Skills Requested:
Highly proficient in Microsoft Office including Word, Excel and Power Point.
Ability to quickly learn and consistently adhere to policies and processes.
Exceptional discretion and confidentiality.
