Job Summary

The College of Medicine is currently seeking an Administrative Operations Coordinator to play a vital role in supporting the executive search management and operations of the College of Medicine. This position works closely with key stakeholders to develop position specifications, leadership profiles, and search timelines for executive-level roles on behalf of the Dean. The coordinator proactively manages search projects, ensuring timely progress through effective communication, guidance, and logistical coordination. This includes facilitating interviews, organizing candidate travel and accommodations, and maintaining high-touch communication with prospective talent to ensure a positive candidate experience.

In addition the coordinator provides high-level executive support to the Assistant Dean for Administration and the administration team. This includes managing schedules and coordinating meetings. The coordinator plays a critical role in supporting the creation and implementation of policies, procedures, and project management tools.

The position also is also responsible for purchasing and expense management, ensuring compliance with university policies. This includes handling candidate recruitment-related expenses, maintaining procurement processes, and reconciling expenditures.

Lastly, the Administrative Operations Coordinator is a key player in fostering service excellence with internal and external customers, colleagues and stakeholders.

This individual will manage activities, provide high-level professional support, and assist with managing the flow of information from the department. Will also serve as a liaison with University-wide administrators and external constituents. The position reports to the College Recruitment Manager and will have frequent interaction with faculty, staff, and students. Will also interact frequently with senior administrative leadership for the University and College. This is a fast-paced environment requiring the ability to manage multiple detailed tasks while providing professional support and service.

This position is eligible for a hybrid work schedule. Must be on campus during candidate visits, but will be able to work remotely otherwise.



Skills / Knowledge / Abilities

The successful candidate will have the ability to manage multiple tasks and projects simultaneously, exceptional customer service, strong verbal and written communication skills, and a high level of attention to detail. Must also be comfortable with Zoom, Teams, Qualtrics, Microsoft Outlook, Word, Excel, and PowerPoint.

Prior experience with project coordination preferred.
