Job Summary
We are seeking a highly organized and experienced Executive Assistant to join our team and provide support to our Information Technology leaders. The ideal candidate will have a proven executive level administrative background with exceptional interpersonal skills, and the ability to manage sensitive and confidential situations with demonstrated poise, tact, and diplomacy. As a pivotal member of the team, you will be instrumental in ensuring the smooth operation of the business, enabling our associates to bring peace of mind to everyone we touch.
This role is required to be on campus 4 – 5 days per week.
Responsibilities
- Provide executive-level administrative support to IT leaders and associates.
- Manage and maintain schedules, including appointments, meetings, and travel arrangements; prioritizes requests to ensure sufficient time allotted in the schedule to address top priorities.
- Act as a liaison with internal and external parties by facilitating communication, building rapport, and fostering relationships cultivating an environment of collaboration and cohesion.
- Serve as the leader’s ambassador for internal and external stakeholders, including screening and directing phone calls, emails, and visitors.
- Assist with preparation and coordination of research, data analysis, creation and delivery of correspondence, reports, presentations, and other documents for leaders.
- Arrange travel, accommodations, itineraries, and all correspondence related to necessary arrangements including management of expense reports.
- Coordinate, organize and facilitate meetings and special events, including scheduling, agenda preparation, logistical arrangements, facilitating sessions or delivering presentations.
- Perform general office duties, such as ordering supplies, mail distribution and maintaining files, records, and correspondence.
- Lead or participate in special projects and initiatives as assigned.
- Assist in recruitment initiatives and onboarding of new employees, as well as offboarding of employees.
- Partner closely with and provide backup support to other administrative professionals as needed.
- Review administrative operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
- Other duties as assigned.
Qualifications
- Bachelor’s degree or equivalent work experience (4 years).
- Minimum of 5 years of experience in an administrative support role; with at least 2 years supporting senior or executive leaders
- Certified Administrative Professional preferred.
- Proven experience supporting an IT function, encompassing areas such as Security, Data, Project Management, and Application Development
- Must have experience supporting multiple (5 or more) leadership team members.
- Executive presence and professional demeanor with proven ability to maintain confidentiality and manage sensitive information with discretion.
- Expertise in Microsoft Office Suite and other relevant job-related software applications (such as Concur, UltiPro/UKG, Salesforce and Visio), as well as the aptitude to rapidly learn new company-specific systems and processes.
- Demonstrated expertise in creating and editing various leadership materials and presentations with visuals and charts, and ability to analyze and incorporate data into these materials.
- Ability to convert conversations into meaningful materials for leader consumption or presentation.
- Action oriented with foresight to take initiative and anticipate the needs of the team.
- Strategic mindset, able to use critical thinking to provide a proactive approach to problem-solving.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication skills, including the ability to communicate effectively with individuals at all levels of the organization.
- Attention to detail and accuracy in all work tasks.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility and adaptability to changing priorities and fast-paced environments.
- Willing and able to work more than 40 hours in a work week, as needed.
- Must be able to pass a background check.
