Position Summary

The University of Southern Indiana is accepting applications for Senior Financial Assistance Associate.

Counsel students and parents regarding the application of financial aid, including federal, state, and institutional, and foundation scholarship aid programs. Responsible for maintaining all USI Financial Assistance social media. Through in-person contact, phone, and email communication, provide information to students regarding their aid application and assist with determining if corrective measures need to be made. Provide guidance and information to students regarding maintaining and/or regaining eligibility for assistance. Review aid applications to verify accuracy and determine need for additional information. Determine whether student has unusual circumstances that would affect financial aid eligibility. Ability to handle emotional issues that can surface when financial aid eligibility does not meet student or parent expectations

Duties/Responsibilities 

  • Counsel and advise students about financial aid eligibility, application procedures, aid programs, costs, and indebtedness, individualizing information to the particular needs and situation of each student.

  • Assist in updating records and adjusting award entries to aid packages to ensure federal, state, institutional and foundation compliance.

  • Must understand federal and state regulations as well as USI policies and procedures regarding all types of financial aid.

  • Evaluate student’s non-degree-seeking status to determine if they are now degree-seeking and eligible for financial aid.

  • Assist with the delivery of financial aid letters, processing of data and payment to student accounts.

  • Manage essential office functions to ensure efficient operation including but not limited to the reconciliation of the office credit card and maintenance of supply inventory.

  • As necessary, provide testing assistance with technical upgrades to the University financial aid management system and self-service platform.

  • Identify and notify students of the outstanding requirements necessary to receive federal and state financial aid.

  • Prepare, create, and notify students regarding the delinquency status of federal loan funds.

  • Oversee the notification of freshman and transfer students regarding their financial aid offers.

  • Maintain and update the Student Financial Assistance social media platforms.

  • Hire, train and supervise the department’s student workers.

  • Update and maintain all the department’s student communications and financial aid documents, ensuring federal and state regulations and institutional policies are met.

  • Other duties as assigned.


Required Knowledge and Skills

  • Associate degree or completion of some college coursework.

  • Two years of professional office experience.

  • Effective oral and written communication skills.

  • Proven ability to handle multiple tasks at once.

  • Ability to work collaboratively as part of a team.

  • Ability to communicate and work closely with a diversified group of people, including students, parents, staff, faculty, and external/internal auditors.

  • A commitment to providing excellent customer service and working with students.

  • Experience with computers, internet, word processing, spreadsheet and email software.

  • Strong interpersonal, organization, and time management skills.

  • Ability to maintain confidentiality.


Preferred Knowledge and Skills

  • Bachelor’s degree.

  • Experience with Banner and the Microsoft Office Suite including Outlook, Word, Excel, and Access.


Regular Work Hours/Travel Requirements

  • Standard work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m.
  • Occasional overtime may be required during heavy workloads and/or university sponsored events.
  • Occasional evening and weekend work may be required.
  • Occasional local or regional travel to attend trainings and events may be required.
