Position Description

Reporting to the Subawards and Agreements Manager, the Subawards Specialist works independently performing a wide range of complex administrative duties as part of the Office of Research Administration (ORA) Awards Management Team.

As part of these duties, the Subawards Specialist will communicate with a wide range of internal and external contacts. The Subawards Specialist is responsible for outgoing subawards, which includes drafting and issuing outgoing subaward agreements and amendments under sponsored awards at Harvard Medical School. Negotiate basic subaward related issues, and work with the Subawards Manager, Assistant Director of Awards Management, and Grants and Contracts Officers on more complex or difficult negotiations. This individual will liaise with HMS staff and subrecipients, to anticipate, identify, and resolve problems arising during all phases of the subaward life cycle, including escalating issues and providing status updates. Will make recommendations for continuous improvement to the ORA subawards process. The Subawards Specialist reviews subaward requests; reviews outgoing subaward paperwork for accuracy and compliance with sponsor guidelines, University policies, and regulations and to identify and mitigate risk to the University; and will ensure compliance with mandated requirements relative to subrecipient monitoring and risk assessment. The Subawards Specialist will also process actions in the Grant Management Application Suite, Harvard’s grants management system of record, including tracking funds, recording statuses, and maintaining supporting documentation. Will maintain subaward templates; maintains subaward policies and procedures; acts as backup for Subawards and Agreements Manager. Will participate in subaward-related committees and working groups. Will assist with the drafting and management of Billing Agreements. Other duties as assigned.

Basic Qualifications

5 or more years of experience. Higher education may count towards experience.

Additional Qualifications and Skills

  • Bachelor's Degree preferred.
  • Technical skills: Ability to navigate across systems.
  • Excellent Communication (written and verbal).
  • Good with problem resolutions and organizational skills (ability to manage deadline driven tasks).
  • Experience with drafting and issuing subcontracts.

Work Format Details

This position is based in Boston, but the work may be done primarily remote. Any remote work must be performed in a state in which Harvard is registered to do business (CA*, CT, GA, IL, MA, MD, ME, NH, NJ, NY, RI, VA, VT, and WA). Individual flexible and remote work options for this role will be discussed during the interview process. *Note: Harvard employees working in California must be exempt.

The Office of Research Administration (ORA) provides pre- and post-award management by assisting Harvard Medical School and Harvard School of Dental Medicine Principal Investigators and their staff with proposal submission, award administration, and reporting.
