Job Summary

The role of the Surgery Scheduler is essential to providing excellent surgical care and clinical care for every patient, every day. This role makes certain that the patient is scheduled in a timely, accurate, efficient and compassionate manner so that the processes surrounding the procedure are of no distraction or concern. The primary responsibility is to ensure, organize, and maintain an active, accurate and operational surgery schedule for all involved. The surgery scheduler is crucial to our customer service, comfort and care, and successful outcomes.

Education / Certification/ Experience

  • Minimum three years previous work experience in surgery scheduling or other related health care field and customer service.
  • Otolaryngology, Facial Plastic or other surgical practice support background preferred.

Skills/Knowledge/Abilities

  • Skilled in medical coding
  • Understanding of the coordination between the physician office and surgical facilities to schedule patient and arrange for surgical cases
  • Ability to work effectively both in a team environment and independently
  • Ability to understand comprehensive patient exams and treatment plans
  • Excellent communication and interpersonal skills
  • Ability to organize, prioritize and work efficiently in a high volume, high demand role
  • Working knowledge of an electronic medical record
  • Ability to grasp new concepts and skills
  • Honesty and integrity

Duties and Responsibilities

  • Coordinate surgery times with surgeon, patient and multiple facility contacts
  • Prior authorizations of procedure for surgeries and/or office procedures
  • Appeals for prior authorizations
  • Verify surgery benefits
  • Communicates with patients on surgery benefits
  • Communicates pre op instructions to patients
  • Check in surgery patients
  • Schedule pre and post op appointments for patients
  • Over view of schedule to ensure both locations are covered by adequate providers
  • Confirms surgeries with facilities
  • Create new patient charts and encounters for hospital and ER patients
  • Facilitates prepayment and/or coinsurance payment when indicated

Work may be performed in an office and clinical environment.  Requires corrected vision and hearing to normal range.  While performing the duties of this job, the associate is regularly required to talk or hear.  The associate is required to sit for long periods of time, stand and walk, bend and stretch.  Use of telephone and computer is required.  Manual dexterity required for use of computer keyboard. Occasionally lifts and carries items weighing up to 40 pounds. May requires working under stressful conditions or working irregular hours.
