The Community Manager is fully accountable for all property operations and meeting the lease up goals of the property. These objectives will include maximizing occupancy levels and property values as well as building and cultivating a strong and motivated team. The Community Manager for a Lease Up is integral to the success of the property, encompassing the responsibilities from the construction phase to community stabilization.Job Responsibilities:Financial<ul><li>Assist in formulation of budgets. <ul><li>Determine daily, monthly and quarterly services required for daily operations. Create contracts for recurring services and establish pricing for current and future services.</li></ul></li><li>Responsible for staying within the established budget guidelines.</li><li>Ensures all rents are collected when due and posted in a timely manner. Makes sure that all bank deposits are made immediately and reported in the appropriate systems.</li><li>Performs evictions, utility cut-offs and landlord liens as required on delinquent rents.</li><li>Responsible for ensuring all invoices are submitted and approved in the appropriate system for timely payment.</li><li>Completes month-end procedures and reports including deposit accounting, variances, expiring leases, write off register, receivable aging, security deposit activity, gross potential rent.</li><li>Uses and safeguards and reconciles the property credit card in accordance with accounting policies and deadlines.</li></ul>Personnel<ul><li>Hires, trains, empowers, motivates, supervises, disciplines (including appropriate documentation) and terminates all on-site staff, as needed and under the advice and approval of leadership and Human Resources, in order to achieve other operational of assigned property. This includes new employee orientation, annual performance reviews, review and approval of timesheets, instructing and advising on-site staff of employee procedures and guidelines.</li><li>Conducts on-going training with office staff; e.g., marketing activities, leasing paperwork, workplace safety, and any other type of training that may be needed on a daily basis. Provides leadership, coaching, recognition and works towards building strong professional working relationships amongst the team.</li></ul>Administrative/Office/Compliance<ul><li>Ensures that lease files are current, complete, and in compliance with MFTE, Section 8 or other applicable affordable program requirements.</li><li>Responsible for office opening on schedule, condition of office and model apartments.</li><li>Attends scheduled corporate management meetings, usually held on a quarterly basis.</li><li>Maintains records on all aspects of management activity on a daily, weekly and monthly basis. Submits required reports to corporate office on a weekly and monthly basis.</li><li>Prepare for audits and complete annual reporting.</li></ul>Resident Relations<ul><li>Initiates and perpetuates a true sense of community.</li><li>Maintains positive customer service attitude.</li><li>Is responsible for inspections with residents of move-in/move-outs.</li><li>Reviews all notices to vacate to determine the cause of the move-out.</li><li>Initiates and implements policies/procedures to maintain resident communications; e.g., complaints, service requests, etc.</li></ul>Maintenance<ul><li>Physically walks and inspects property on a regular basis; Verifies condition of vacant apartments.</li><li>Updates make-ready board indicating vacancy status on a daily basis. Coordinates with maintenance staff to ensure timely recondition of apartments after move-out.</li><li>Oversees or delegates to the Maintenance Supervisor all vendor/contractor communications concerning work scheduling, billings, vendor relations and certificates of insurance.</li><li>Set up and schedule training on new building equipment and create a preventative maintenance plan.&nbsp;</li><li>Create an Equipment &amp; Maintenance Binder.</li><li>Maintain permits and establish emergency maintenance plans.</li><li>Collaborate with Maintenance Supervisor, builder, client and vendors to anticipate building concerns, provide pre-emptive solutions, and ensure a safe and quality living space for residents.</li><li>Monitors all maintenance activities.</li></ul>Marketing/Leasing<ul><li>Achieve leasing and occupancy goals set by absorption schedule.</li><li>Creates and ensures execution of a marketing and leasing plan.&nbsp; <ul><li>Works with marketing to complete virtual staging, 3D tours, collateral and renderings.</li><li>Host open houses and other community events.</li></ul></li><li>Conducts market surveys monthly and provides trend report information. Shops competition and is aware of neighborhood market conditions. <ul><li>Collaborate with client to make changes to rents and concessions based on market conditions.</li></ul></li><li>Welcomes and shows property to prospective new residents. </li><li>Responds to inquiries from prospective new residents and keeps appropriate documentation.</li><li>Maintains awareness of market/industry conditions and trends via trade publications, professional organizations, etc.</li></ul>Safety and Risk Management<ul><li>Reports all liability and property incidents to Regional Manager and other appropriate Home Office departments immediately. Ensures that all workers' compensation claims are reported and proper documentation is completed.</li><li>Manage contracts with vendors and the city to keep the asset in compliance with safety requirements.</li><li>Become familiar with and responsible for all Thrive and any property specific policies on Water Intrusion, AMG (apparent mold growth) or other health or building safety programs.</li><li>Community Manager completes any pertinent safety checklists with maintenance staff.
